Use of SLSC Facilities for Member-Sponsored Events
Purpose
The club is operated by the membership for the pleasure, use, and enjoyment of
its members, all year.
A further benefit of SLSC membership is to use the house and other facilities for
social activities that would involve some non-club members (hereafter referred to
as "member-sponsored events".)
This document sets down the rules for member-sponsored events. The overall intent
is to permit small groups of members / guests to enjoy the facilities on a
non-exclusive basis.
Use by larger groups requires specific approval as explained in section 3 below.
A member-sponsored event will never be granted exclusive use of any of the
SLSC facilities. Further, members not participating in the member-sponsored
event should never be treated as party crashers.
Rules for Use of Club Facilities
Please note these other rules relating to facilities usage from the
Constitution, Bylaws, and other policies:
Additional Rules for Member-Sponsored Events
- For the purposes of definition, "Club Member" shall refer to the following
types of current SLSC membership in good standing: Regular, Student, and
Honorary.
- A member must be the sponsor of a member-sponsored event, and must be
present at all times. This includes overnight use.
- No member-sponsored event shall take precedence over, or have exclusive
rights over, the use of facilities by other club members. Club members take
precedence, including the use of kitchen and picnic facilities (however,
it is expected that club members will be cooperative with the
member-sponsored event.)
- Examples of acceptable member-sponsored activities would be:
One involving an SLSC family and a few friends having an afternoon
and evening at the club. In so doing, it would be expected that some
food would be stored in the kitchen and that some food would be prepared
in the kitchen. It is the policy of the club to encourage such use
of the club. It is expected that the house will be left as clean as
it was found and that there will be no excessive use of club resources
(such as paper products.)
One involving a "non-profit, educational" organization, such as AFS,
Scouts, etc. In this case, the use sould be:
- Led by a club member in attendance
- No more than twice per year per member
- No more than four total events per month shall be scheduled
- Very rarely, a club member might wish to use the facilities for a special
occasion, and which might involve a large number (> 30) of people. Examples:
- A wedding of a club member or their children
- A memorial service for a former member
These events will require the specific approval of the Executive Committee,
together with a written impact statement. This statement will include the
proposed day and time, and outline the proposed arrangements and facilities
for cooking and kitchen use, water use, parking, added toilets (if needed),
setup/takedown plans and times, together with any other unusual requirements
imposed on the house and grounds.
- It is difficult to define examples of non-acceptable use. The club will not
approve those activities that are directly or indirectly associated with
commercial events, or ones in which damage might be incurred. Consequently,
events such as Tupperware parties, work-related activities, or ones which
have previously incurred damage will not be approved. Other events will be
at the discretion of the Executive Committee.

- Overnight lodging shall be confined to the second and third
floors of the house
- Where only Flag Lieutenant House notification is required,
notification shall occur at least 48 hours prior to the event.
Where Executive Committee approval is required, the request shall
be made at least 30 days prior to the event.
- Requests will be approved on a "first-come, first-served" basis.
- Member-sponsored events will not be allowed during club sponsored
events. Note that fleet regattas included in the calendar are
considered club-sponsored events.
- Events smaller than shown on the table above require
no special action, but it is a good idea to check the
calendar before planning
an event.
- The sponsoring club member is responsible for seeing that club facilities
are used appropriately, and that ther guests follow club rules. The
sponsoring member is responsible for any damage, and also for clean-up
after the event. Clean-up should be completed by noon of the following day
(or 9 AM if a club-sponsored event takes place that day.) Special
arrangements may be negotiated with the caretaker to cover the cost of clean
up, but the caretaker is in no way obligated to perform clean-up of
member-sponsored events.
- The sponsoring club member will insure that the facilities are kept orderly
and suitalbe for use by other club members.
